16 AI Prompts for gym owners to retain members and grow revenue

Every booking, missed class and expired pack is sitting in your system right now. The problem isn't the data. It's finding the time to dig through reports when you've a floor to run, coaches to manage and members to look after.

That's where AI assistants like ChatGPT, Claude, Perplexity or Grok come in. Ask the right question and they'll turn a pile of exports into a short list: who to message today, which intro offers actually convert, and which class slots are quietly costing you money.

The catch? Most owners type something vague like "how's my gym doing?" and get a vague answer back. Good results come from good prompts.

So we wrote 16 of them. Below you'll find three you can copy and use today. The full set is in our free playbook, Your business. Your data. Your AI advantage.

Wait, how does AI get to my data?

There are two ways.

Upload an export. Download a report from your gym software and attach it to your AI chat. Simple, works with any provider, but it's a snapshot that doesn't update itself.

Connect directly with MCP. MCP stands for Model Context Protocol. It's a standard way for AI tools to plug into other systems. Think of it as a bridge between your AI assistant and the business information it's allowed to see. Once connected, you can ask questions in plain English and get answers from live data.

LegitFit customers can connect their account through the LegitFit MCP connector. The prompts in the playbook also work with other providers' integrations or a simple export. What you can access depends on your setup, so always ask your AI which records, fields and date ranges it can actually see before you start.

Three prompts to try this week

These are the three we recommend starting with. Each one leads straight to an action, and each takes a few minutes to check.

1. Members to check in with

Run it: Monday morning. You'll need: membership status, bookings and attendance.

An empty diary isn't proof someone's about to cancel. But it's a great reason to say hello. This prompt gives you a prioritised list of ten people and a message ready to personalise.

Using my available gym data, find active members with no bookings in the next seven days. Exclude paused, cancelled and expired memberships, and products that do not require bookings. Separate people who joined in the last 30 days. Show name or member ID, last attendance, visits in the last four weeks and upcoming bookings. Prioritise ten people whose attendance has fallen against their own previous four weeks. Draft one friendly check-in message for me to personalise. No booking is a reason to check in, not proof someone will leave.

2. Measure intro-to-membership conversion

Run it: monthly. You'll need: intro purchases, end dates and membership starts.

Your intro offer is probably your biggest acquisition lever. This prompt tells you which offers actually turn into ongoing memberships, without muddying the numbers with people who haven't finished deciding yet.

Measure conversion for intro offers that ended in the last completed calendar month, counting unique customers. Define conversion as a first ongoing membership purchased within 30 days of the intro end date. Show intro customers, converted customers and conversion rate by offer. Report fully observed 30-day windows separately from customers still inside their window; do not mix them into a final rate. Include a follow-up list of unconverted customers still within 30 days. State the date boundaries and deduplication rules.

3. Your weekly owner's brief

Run it: before your team meeting. You'll need: membership movements, attendance and payment records.

Walk into your weekly meeting with decisions to make, not reports to read. This prompt separates the numbers that often get blurred: membership counts versus unique members, cancellation requests versus actual exits, cash collected versus recurring revenue.

Prepare a brief for the last completed Monday-Sunday week. Show first-time membership joins, membership exits, net movement, attended visits, no-shows and cash collected less refunds. Distinguish membership counts from unique members, cancellation requests from actual end dates, and cash collected from recurring revenue. Compare with the previous week on the same basis. Summarise the three biggest changes and five actions with suggested owners. List unavailable metrics and show the underlying counts and source dates.

13 more prompts in the full playbook

The playbook groups all 16 prompts into four goals, each with when to run it and what data you'll need.

Keep members engaged: Catch attendance dips before they become cancellations, celebrate streaks and milestones, give new members a strong first 30 days

Convert more enquiries: Find leads going quiet, compare acquisition channels across the full funnel, plan timely renewals for packs and fixed-term memberships

Run the business: Make your timetable work harder, recover no-shows and late cancellations, spot unused appointment capacity

Plan your next move: Learn from cancellation reasons, build a two-week content plan, get a local market brief, turn insight into a team agenda

You'll also get a copy-and-paste guardrail to add to any data prompt, plus a template for turning a one-off prompt into a scheduled weekly brief.

How to get a useful first result

AI is only as reliable as the data and instructions you give it. Before you build anything into your routine:

  1. Connect or upload. Link your provider or attach the right export, then ask what the AI can actually see.
  2. Add your context. Tell it your location, business type, membership structure and goals. Replace anything in [square brackets].
  3. Run once, then check. Compare five records and a couple of totals against your gym software. Only schedule it once the output is right.

One rule worth keeping: let AI draft and recommend, but don't let it send messages or change records. You stay in charge of what goes out to members.

Start with one prompt this week

You don't need to use all 16. Pick one, check five records, give someone ownership of the follow-up, and see what happened a week later. A Monday member check-in list is a great place to begin.
